Effective Date: December 10, 2026 | Last Updated: November 3, 2026 | Version 3.4
The version in force until December 10, 2026 is available here.
About this version: Version 3.4 restates Sections 8.2, 8.3, 8.5, 8.6, 8.7 and 15 so that they describe how the platform keeps, deletes, audits and protects your data: how long each kind of data is kept, what account deletion removes and what it keeps, how backups expire, which changes a failed audit write refuses, where personal identifiers are redacted, which plans use your own AI provider keys, and what an external data source you enable receives. It adds no new obligation of yours. Please read in particular: content is kept until you delete it, not for a fixed period; usage records are kept with your account identifier after your account is deleted; logs are kept for 1 year; backups of your content and account data expire within 1 year, and audit, usage and billing records are kept in backups for up to 7 years; a failed audit write refuses only certain organization-administrator changes; and some processing sends content to Anthropic without redaction (Section 8.6).
1. Agreement to Terms
By accessing, creating an account on, or using the services of AI Advisor Lab, LLC, a Nevada limited liability company trading as AI Advisor Lab™ (“Company,” “we,” “our,” or “us”), including the AI Advisor Team Operations platform at teamops.aiadvisorlab.ai and the marketing site at aiadvisorlab.ai, you agree to be bound by these Terms of Service, our Privacy Policy, and all applicable laws and regulations. If you do not agree to these terms, you must immediately stop using our services.
These Terms constitute a legally binding agreement between you and AI Advisor Lab. By clicking “I agree” or by accessing or using the Service after these Terms have been posted, you accept these Terms. You must accept these Terms each time you sign in.
2. Description of Services
AI Advisor Lab provides AI-powered advisory services utilizing Large Language Models (LLMs), including but not limited to:
- Custom AI Advisor Team Generation: Creation of specialized multi-persona AI advisory teams tailored to specific business use cases, and a marketplace of pre-built teams
- Multi-Expert Advisory Analysis: Simultaneous cross-domain expert analysis and strategic recommendations using AI-simulated advisor personas
- AI-Powered Business Consultation: AI-driven insights, market analysis, and decision-support for business strategy
- Document, Materials & Image Analysis: AI-powered review and analysis of files you upload — including PDF, Word, Excel, PowerPoint, CSV and text formats, and images. Files with no machine-readable text layer (for example scanned PDFs, photographs, diagrams and image-based slides) are transcribed using AI vision models. Large spreadsheets and long documents are analyzed using additional query and retrieval techniques so the analysis is not limited to an excerpt.
- Report Generation & Export: Generation and export of reports and strategic deliverables in PDF, DOCX, PPTX, XLSX, HTML and Markdown formats
- Deep Research: AI-augmented research using third-party research and web-search providers
- Data Ingestion (External Data Sources): Optional connections you configure to public and commercial external data APIs. Results are retrieved at analysis time and supplied to the advisory team as clearly-labelled unverified background context.
- Live Site Inventory: When you explicitly ask for analysis of a named website, the platform may retrieve publicly-available pages of that website so it can report on what it actually found rather than inferring it
- Organizations & Collaboration: Organization and seat management, member roles and invitations, project sharing, organization-level security policy, and organization branding
- Enterprise Identity Integration: SAML-based single sign-on and SCIM user provisioning, where we have made them available to your organization
- Agent & API Integration: A remote Model Context Protocol (MCP) endpoint that lets authorized AI development tools and agents consult your advisory teams, authenticated by OAuth or by scoped Personal Access Tokens that you create and can revoke at any time
- Governance & Compliance Tooling: Inline output validation tags, answer-grounding and source-quality indicators, an AI Governance Trail export, self-service data export, and self-service account deletion
3. Large Language Model (LLM) Technology Disclosure
Important: How Our AI Technology Works
AI Advisor Lab utilizes third-party Large Language Models (LLMs) and third-party research services to generate all AI advisory outputs. Advisory analysis and report generation are performed using models provided by Anthropic (Claude). Research features additionally use Google (Gemini) and Perplexity. By using our services, you acknowledge and understand the following inherent characteristics and limitations of LLM technology:
- AI Hallucinations: LLMs can generate plausible-sounding but factually incorrect, fabricated, or misleading information. This is a known and inherent limitation of the technology. All outputs must be independently verified.
- Training Data Limitations: AI models are trained on data with a knowledge cutoff date and may not reflect current events, recent legal or regulatory changes, current market conditions, or the latest scientific findings.
- No Understanding or Reasoning: LLMs generate text based on statistical patterns, not genuine understanding, reasoning, or professional judgment. AI personas are simulated roles, not real experts.
- Potential for Bias: AI outputs may reflect biases present in training data, including cultural, geographic, demographic, industry, or historical biases. Outputs should be evaluated critically.
- Non-Deterministic Outputs: The same prompt may produce different results on different occasions. Consistency of output is not guaranteed.
- Context Window Limitations: LLMs process information within fixed context windows. Complex analyses may be subject to information loss or incomplete consideration of all provided data.
- No Access to Real-Time Data: Unless explicitly using the Deep Research feature, AI outputs do not incorporate real-time data feeds, live market prices, current regulatory databases, or up-to-the-minute information.
- Third-Party Model Dependencies: Our services depend on third-party AI model providers. Changes to underlying models, API availability, or provider policies may affect service quality, consistency, and availability.
4. User Eligibility

7. Service Scope and Limitations
7.1 What We Provide: AI-generated strategic analysis and recommendations; custom AI Advisor team configurations and a team marketplace; AI-powered business intelligence and market insights; document, materials and image review, analysis and report generation, including export to common office formats; deep research using third-party research and web-search providers; optional retrieval from external data sources you configure; retrieval of publicly-available pages of a website you explicitly ask us to analyze; organization, seat, role and sharing management; SAML single sign-on and SCIM provisioning where we have made them available to your organization; a remote MCP endpoint and scoped Personal Access Tokens for agent and tool integration; and self-service governance, data-export and deletion tooling.
7.2 What We Do NOT Provide: Professional advice in any regulated field; real-time financial data or trading signals; legal opinions or regulatory compliance certification; medical diagnoses or treatment plans; guaranteed or warranted accuracy of any output; human expert review or validation of AI outputs (unless separately contracted); an independently certified or attested security or compliance posture of our own (we hold no SOC 2, ISO 27001 or equivalent certification — our cloud infrastructure provider holds such certifications for the infrastructure layer only); and any guarantee that an external data source, research result, or website you ask us to consult is accurate, complete, current, or licensed for your intended use.
7.3 Service Availability: Services are provided “as-is” and “as available.” We do not guarantee uninterrupted, error-free, or continuous service availability. Service may be subject to scheduled maintenance, API provider outages, or technical limitations.
8. Data Privacy, Processing & Security
8.1 Governing Privacy Documents: We process your data in accordance with our Privacy Policy at aiadvisorlab.ai/privacy-policy and, where you have accepted one, the Data Processing Agreement available in Account Settings → Data & Privacy. These Terms, the Privacy Policy, the Data Processing Agreement, and the Data & Privacy detail in Account Settings are maintained as a single consistent set. If you believe you have found a conflict between them, please tell us at info@aiadvisorlab.ai; pending correction, the Data Processing Agreement governs for organizations that have accepted one, and the Privacy Policy governs otherwise.
8.2 Sub-Processors: To provide the Service we share data with the following categories of sub-processor, and no others. We do not sell, rent, or share your data for advertising.
- Cloud infrastructure provider (United States) — compute, storage, database, encryption key management, identity, email delivery, and monitoring for the entire platform.
- Anthropic (United States) — Claude model APIs. Receives your prompts, the relevant portions of your uploaded materials and conversation, and advisory team context, for the purpose of generating advisory output.
- Google (United States) — Gemini APIs, used for the Deep Research feature and for image generation. Receives research topics and the content necessary to perform the requested research or generation. Deep Research runs on your own Google key where your plan requires one; image generation runs on your own key if you add one, and otherwise on ours.
- Perplexity (United States) — web research API. Receives research queries only; it does not receive your conversation history or your uploaded materials.
- Stripe (United States) — payment processing for paid plans. Receives billing identity and subscription data. Card details are collected by Stripe directly and are never received or stored by us.
- Public and commercial external data sources (location varies) — the specific data APIs you choose to enable under Data Ingestion. Each receives the search query or topic derived from your request, and any contact email or credentials you entered for that source. They do not receive your conversation history or your uploaded materials.
- Websites you ask us to analyze (location varies) — when you explicitly request analysis of a named website, our systems make ordinary public web requests to that site to retrieve its publicly-available pages. Those requests identify our platform and disclose a contact address; they contain no content of yours.
Your inputs are processed by these providers under their own terms and privacy policies, and we recommend you review them. We will give at least 30 days’ notice before adding or replacing a sub-processor.
8.3 AI Model Training: Your content is not used to train any AI model of ours, and it is sent to AI providers through commercial API endpoints that are governed by contractual terms prohibiting the provider from training its models on that data. Professional and higher plans use your own provider API keys, which you add in Account Settings, unless we have agreed to supply platform keys; your requests then run under your own provider account and are additionally governed by the terms of that account, which you control. A few steps run on our platform keys: short preparatory steps before a meeting starts, such as suggesting deliverables and advisors; writing the executive brief; and, when you upload documents, summarising them and reading scanned pages and images.
8.4 Data Location: We store and process customer data in the United States (cloud region US East / Northern Virginia). The providers listed in Section 8.2 are companies based in the United States, but each processes the requests we send it where its own terms provide: Anthropic stores API data in the United States and may run its models in any of its locations, including outside the United States; Google may store Gemini API requests briefly or cache them in any country where it or its agents have facilities; Perplexity states that its computing is hosted in North America; and Stripe may process billing data in the United States and other countries. Requests to external data sources or to a website you have asked us to analyze go to wherever that third party is hosted, which may be outside the United States.
8.5 Data Retention: We retain data as follows.
- Account data — for the life of the account. When you delete your account, your sign-in is kept, disabled, for 30 days so that the account can be restored, and is then deleted.
- Conversations, projects, uploaded materials and generated reports — kept until you delete them or delete your account. They are not deleted automatically after a set period; an organization’s retention setting is recorded but is not applied to content automatically.
- AI-agent (MCP) consult records — the stored record of each consult an AI tool runs for you is kept until you delete your account; an AI tool can retrieve it for 365 days after the consult.
- Audit and governance records — platform audit records are kept in write-once storage under a compliance-mode retention lock that prevents their alteration or deletion for 7 years, including by us, and are not deleted automatically after that. Records in the organization administration log are kept for 7 years from when each is written. Audit records are not deleted on request.
- Usage records (consult counts, token use and cost) — kept with your account identifier for billing and accounting, including after your account is deleted.
- Operational and security logs (application, firewall, network and load-balancer logs) — 1 year.
- Backups — Encrypted backups are held in the same region. Backups of your content and account data expire within 1 year (daily copies after 90 days, weekly copies after 1 year). Audit, usage and billing records are also kept in monthly backups for up to 7 years. Data you delete remains in existing backups until those backups expire.
- Personal Access Tokens for agent integration — expire automatically no later than 90 days after creation, and can be revoked by you at any time.
- Organization invitations — expire 14 days after being sent.
- Organization records — members, seats, settings, branding and single sign-on and SCIM configuration are kept for 90 days after the organization’s subscription ends, so the organization can be reactivated, then deleted. Members keep their own accounts and projects, and the organization’s audit records follow the 7-year retention above.
- Former-customer contact record — when your account is deleted or your organization ends, we keep your name, email address, company, the date you left and whether your account was deleted or your organization ended, and nothing else, for up to 3 years so that we can contact you. Every email we send you after that has an unsubscribe link. If you unsubscribe, or ask us to erase your data, we delete the record and keep only your email address and when and how you asked us to stop, on a do-not-contact list, so that we never contact you again.
You can delete data yourself at any time. Deleting a project erases that project’s conversations, uploaded materials and derived search indexes together. Deleting your account deletes your projects, meetings, reports, uploaded documents and stored API keys from our live systems at once and disables your sign-in; within 30 days the account can be restored, empty, and after that the sign-in is deleted. Earlier versions of deleted files are removed from storage within 30 days. We keep your billing records, your usage records, the audit records above, the former-customer contact record and a record, with your personal details removed, that the account was deleted; deleted data remains in existing backups until they expire.
8.6 Sensitive and Confidential Information: The platform automatically screens content for personal identifiers — email addresses, phone numbers, government ID, card and bank account numbers, street addresses and similar — and redacts them before content is sent to the advisory models, and it classifies data sensitivity. People’s names you write or attach are kept, so the advisors can work with them. Detection runs in two steps: pattern matching, then a small Anthropic model that finds the rest, such as street addresses; where that model step is unavailable or fails, only pattern matching applies. Some processing sends content to Anthropic without this redaction: summarising and indexing each document when you upload it; a few short preparatory steps before a meeting starts (such as suggesting deliverables and advisors), which send your question and, for agent consults, part of your attached materials; extracting meeting memory; and writing the executive brief from your report. Images cannot be text-redacted, and if the redaction step itself fails, the meeting continues without it. These controls reduce risk; they do not eliminate it, and they are not a substitute for your own judgement. Do not submit classified or export-controlled information, payment card numbers, government identity numbers, or material subject to attorney-client privilege. Submit trade secrets, third-party personal information, or protected health information only where you have the necessary rights and consents and you accept the residual risk of third-party AI processing. If you are a HIPAA covered entity or business associate, do not use the Service for protected health information unless we have entered into a written Business Associate Agreement with you; we do not offer one by default.
8.7 Security Measures: We maintain a documented security program including: encryption at rest using AES-256 across all stores, with your project content and the database tables holding audit, sign-in token, access-token, usage, tenant-metadata, client-context and contact records, among others, encrypted under customer-managed keys that rotate automatically each year, and the remaining tables under our cloud provider’s default encryption; encryption in transit using TLS 1.2 as a minimum, with TLS 1.3 supported, enforced at the network edge; multi-factor authentication enforced on all production accounts, with an authenticator application as the required factor and SMS available as an additional enrolled factor, plus an enforced password-complexity policy; session handling in which tokens are held in cookies that page scripts cannot read; logical multi-tenant separation, in which every record is bound to a tenant identity derived from your verified sign-in and never from client-supplied input, and cross-tenant access is refused at the storage, API and query layers; edge protection from a managed web application firewall running in active blocking mode, covering rate limiting, blocking of known attacker addresses, exploit probes, and managed rule sets for common attack classes, known bad inputs and SQL injection, with individual rules tuned to the application, some of them to monitor rather than block; content safeguards that redact personal identifiers (email addresses, phone numbers, government ID, card and bank account numbers, street addresses and similar) before content reaches the advisory models, with the exceptions stated in Section 8.6 — people’s names you write or attach are kept — and classify submitted data by sensitivity; secrets management in a dedicated managed service rather than in application configuration; monitoring through centralized logging with alerting, network access logging, activity logging with integrity validation, continuous configuration recording and managed threat detection; a tamper-evident, hash-chained audit trail of platform events, including records of AI model requests and responses, data deletions, AI-agent tool calls, access-token events and our administrators’ actions on your account, written to write-once storage, and a separate hash-chained log of organization administrators’ actions; for organization-administrator changes to security settings, AI-agent access, token revocation, signing out all members and billing, a failed audit write causes the change to be refused, while other changes, including seat, single sign-on, user-provisioning and project-sharing changes, are recorded after they are made, and other platform events are recorded without holding up the work they describe, so a failed write is logged rather than retried; data-protection controls including object versioning, point-in-time recovery and deletion protection; and secure development practices, with infrastructure defined as version-controlled code with drift detection, automated secret, dependency, software-bill-of-materials and static-analysis checks in our pipelines, and scanning of every deployed container image; several of these report findings for review rather than blocking a release. We deliberately do not publish specific thresholds or rule tuning, because doing so would help an attacker calibrate beneath them; enterprise customers may obtain that detail under the audit rights in the Data Processing Agreement.
Please read this qualification. This separation is enforced by the application within shared cloud infrastructure. It is not a dedicated cloud account, a dedicated database, or a separate encryption key for each customer — the customer-managed keys described above are managed by us for the platform as a whole, not issued per account. Dedicated-tenancy arrangements for regulated workloads are available by separate agreement — contact info@aiadvisorlab.ai. We hold no SOC 2, ISO 27001, HIPAA, PCI DSS or equivalent certification of our own; our cloud provider holds such certifications for the infrastructure layer only, and infrastructure certification is not certification of this Service. We also do not operate cross-region disaster recovery, so a prolonged failure of our cloud region would cause an outage. Recovery relies on point-in-time recovery, object versioning and scheduled backups held in a backup vault in the same region; backups are not copied to another region. No system is completely secure, and we cannot and do not guarantee absolute security.
8.8 Incident Response: We monitor for security anomalies and maintain an incident response process. If we confirm a personal data breach affecting you, we will notify you without undue delay, consistent with GDPR Article 33, describing the nature of the breach, the categories of data affected, the likely consequences, and the measures taken. Report a suspected security issue to info@aiadvisorlab.ai.
8.9 Your Privacy Rights: Under GDPR, the CCPA/CPRA and comparable laws you have rights of access, rectification, erasure, restriction, portability, objection, and non-discrimination for exercising those rights. Several of these are self-service in Account Settings → Data & Privacy: export your data in machine-readable JSON, correct your profile, manage cookie preferences, and delete your account. For any other request, or if the self-service tools do not cover your situation, email info@aiadvisorlab.ai. We respond to verified requests within 30 days, extendable by a further 60 days with notice where a request is complex.
8.10 Automated Decision-Making: The Service does not make automated decisions producing legal or similarly significant effects concerning you within the meaning of GDPR Article 22. All output is advisory and requires your review.
